3. Create your First Order

The core of the system

The heartbeat of your operation.

An "Order" in BinCommand is more than just a task; it's a contract. It tracks the movement of your assets, the revenue generated, and the instructions for your drivers.

The basic lifecycle of a rental is: Delivery ➝ Active Rental ➝ Pickup (or Swap).

1. How to Create a New Delivery

To send a bin to a customer:

  1. Click the + New Order button (usually at the top right of your Dashboard).

  2. Select Customer: Choose an existing customer or create a quick one on the fly.

  3. Select Size: Choose the dumpster size (e.g., "20 Yards").

  4. Delivery Date: When does it need to hit the ground?

  5. Price: Enter the agreed rental price for this job.

  6. Assign Driver (Optional):

    • Assign Now: Select a driver immediately. The order will pop up on their phone app.

    • Leave Unassigned: If you are booking for next week, you can leave it blank and assign a driver on the morning of delivery.

Click Create Order.

πŸŽ‰ Result: The order is now "Scheduled" (Yellow status). It will appear on your Dispatch List and on the Map at the customer's location.

2. Managing Active Rentals

Once the driver drops off the bin, the status changes to Active.

The "Green" vs "Red" Status

  • 🟒 Green (Good): The bin is at the customer's site, and the rental period (e.g., 7 days) has not expired.

  • πŸ”΄ Red (Overdue): The bin has been there longer than agreed. This is your signal to call the customer: "Are you done, or would you like to extend for a daily fee?"

3. Ending a Rental (Pickup & Swaps)

When the customer calls to say "I'm full", you have two options:

Option A: Final Pickup (Job Done)

  1. Open the active Order.

  2. Click Schedule Pickup.

  3. Select the date and the driver.

  4. Once the driver picks it up, the asset returns to your "Inventory" and the order is marked as Completed.

Option B: Swap / Switch-out (Ongoing Job)

Use this when the customer needs an empty bin to replace the full one.

  1. Instead of Pickup, select Swap.

  2. This creates a "Double Mission" for the driver: Drop off an Empty Bin AND pick up the Full Bin in one trip.

  3. The system automatically closes the old order and opens a new one linked to the same customer.

4. The Dispatch Board

You don't always need to open every single order to see what's happening. The Dashboard gives you a bird's-eye view:

  • Pending Deliveries: Orders that need to go out today.

  • Pending Pickups: Orders that need to come back today.

  • Map View: Visual confirmation of where every asset is sitting right now.
